About the Role

Join our dynamic team as an Executive Assistant, providing high-level administrative support to multiple leaders in a remote environment. This pivotal role ensures seamless execution of key projects, budget management, travel arrangements, and event coordination, enabling our executives to focus on strategic initiatives.

Responsibilities

• Proactively manage complex executive calendars, coordinating meetings and handling logistics for internal and external appointments.
• Build strong relationships with the broader team, acting as a gatekeeper for executives and anticipating potential challenges.
• Coordinate cross-functional projects, assisting with timelines, deliverables, and stakeholder engagement.
• Identify opportunities to streamline processes, improve efficiency, and enhance executive effectiveness.
• Arrange and coordinate domestic and international travel, including flights, lodging, ground transportation, and detailed itineraries.
• Plan and execute team meetings, off-sites, and other corporate or stakeholder events, including vendor coordination.
• Track and oversee team tasks, budgets, and meeting schedules, ensuring deadlines and deliverables are met.
• Process expense reports, purchase orders, budget reconciliations, and track receipts/invoices with accuracy and timeliness.
• Prepare meeting agendas, take minutes, and maintain organized records of key projects and initiatives.

Requirements

• 5+ years of proven experience as an Executive Assistant, Administrative Manager, or similar role supporting senior leadership.
• Ability to maintain confidentiality, exercising discretion and professionalism with sensitive information.
• Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.
• Demonstrated ability to improve processes, bring order out of chaos, and remain calm during periods of disorganization.
• Strong sense of urgency and the ability to complete tasks quickly while anticipating future needs.
• Highly proficient with Google Suite, MS Office Suite, Adobe Suite, and MacOS.
• Familiarity with communications strategies, executive affairs, and leadership environments.
• Excellent written and verbal communication skills.
