Executive Business Administrator

About the Role

Join our remote Product team as a strategic and proactive Executive Business Administrator, providing essential support to senior leadership and contributing to the efficient operation of our innovative AI-powered DevSecOps platform.

Responsibilities

• Proactively manage complex calendars and scheduling for senior Product leaders, optimizing for productivity across multiple time zones.
• Coordinate intricate domestic and international travel arrangements and meticulously manage expense reporting.
• Prepare and organize materials for meetings, presentations, and offsites, ensuring leaders are thoroughly prepared.
• Facilitate internal and external communications, acting as a professional liaison and gatekeeper.
• Assist with special projects, research, and initiatives to support the Product organization's strategic goals.
• Maintain strict confidentiality and exercise impeccable discretion in all interactions and tasks.

Requirements

• Proven experience as an Executive Assistant or Business Administrator supporting senior executives, preferably in a fast-paced technology environment.
• Exceptional organizational and time management skills with a strong ability to prioritize and manage multiple tasks simultaneously.
• Excellent written and verbal communication skills, with a keen eye for detail.
• Proficiency with modern productivity tools (e.g., Google Workspace, Slack, Zoom) and comfort with remote work technologies.
• Ability to work independently, proactively anticipate needs, and solve problems in a fully remote setting.
• High level of professionalism, discretion, and a strong commitment to accuracy.

Nice-to-Haves

• Direct experience supporting Product leadership specifically.
• Familiarity with GitLab's platform or open-core software models.
• Experience working in a fully remote, globally distributed company.
• Located in Eastern or Central Standard Time Zones (US/Canada).
